COVID-19 VACCINE UPDATES

Second Dose Appointments

  • COVID-19 vaccine: Second dose appointments — We are currently reaching out to all members and nonmembers who had their first dose of vaccine at a Kaiser Permanente Northwest location, with instructions for scheduling your second dose appointment.
  • Second Dose Appointments at BVT, CIN, and MTT – To ease the way for about 950 employees and patients, the Vaccine Command Center endorsed this change:
  • Beaverton, Central Interstate, and Mt. Talbert will administer second dose vaccinations on Saturday, February 6 and Sunday, February 7
  • Beaverton will administer second dose vaccinations on Saturday, February 13 and Sunday, February 14
  • Beaverton and Mt. Talbert will administer second dose vaccinations on Monday, February 15 and Tuesday, February 16


By making this change, employees and patients scheduled to receive their booster (second dose) at these MOBs will NOT receive a message, informing them their appointment was cancelled and instructions to reschedule at the Oregon Convention Center.

  • Members and nonmembers: You should get your second dose from the site where you received your first.

KP.org Updates – Spread the Word!

We just updated kp.org/covidvaccine/nw. This is a great resource for members/nonmembers with questions about the COVID-19 vaccine. New updates include details about mass vaccination sites (Oregon Convention Center, Clark County Fairgrounds), Oregon and Washington eligibility, and second doses.

Oregon Convention Center Vaccination Site – Reminder

You may see information on social media concerning appointments at OCC. Please share, all vaccinations are by appointment only. Oregonians in Phase 1A, Groups 1,2,3 and 4; and Phase 1B, Group 1 (childcare providers, early learning and K-12 educators and staff) are currently eligible for the vaccine. People in these eligible groups can register for an appointment at OCC by going to the OHA website: https://covidvaccine.oregon.gov/.

Last Wednesday, we reached a huge milestone as Kaiser Permanente Northwest launched the mass COVID-19 vaccination site at the Oregon Convention Center. Read a message from Jeff and Imelda on insideKP and watch the video highlighting this tremendous team achievement in our fight against the virus.

Updates to KP.org/covidvaccine/nw

“I’m eligible. How can I get vaccinated?” Recent updates will make it easier for new member and nonmembers to learn about mass vaccination site updates, as well as KP MOB options.

Booster (Second) Dose Vaccinations

Earlier this month, when patients received their first dose at a KP clinic they received instructions to go to kp.org to schedule their second dose. And, to check back in 3 to 5 days if no appointments were available.

What changed? KP will contact all patients – members/employees, and non-members – who received their prime (first) dose at a KP clinic—including the Tualatin Vaccination Clinic and the Oregon Convention Center on January 20 and 23.  Patients do not need to check for an appointment opening on kp.org and do not need to call the contact center to schedule it.  Here’s the message sent to members in this week’s member email:

COVID-19 vaccine: Second dose appointments — If you’ve had your first dose of vaccine at a Kaiser Permanente Northwest location, we will reach out to you to schedule your second dose appointment. It’s recommended that you receive your second dose of Pfizer on or after day 21 and the second dose of Moderna vaccine on or after day 28. If it’s later, you will not need to repeat your series.

Portland-Metro Update

OHA Chat Bot for Vaccine Scheduling At OCC

Oregon Health Authority (OHA) has created a chat bot function on their website for those in the Portland Tri-county area and/or Oregon residents who want to schedule their first dose vaccination at the Oregon Convention Center (OCC). Please direct these patients to the OHA chat bot (not kp.org) to answer eligibility questions and schedule. Those who are due for the second dose will receive communications with instructions on how to schedule at the OCC.

  • Washington residents who want to book at the Clark County Fairgrounds will utilize the process on the Washington Department of Health website.  
  • KP members and non-members with a Health Record Number can go to kp.org/covidvaccine/nw to use the decision tree and book a first dose at an available KP clinic outside of the Tri-County Portland area, such as at CPK, NLR or ECG.

Mid-Valley Update

  • Eugene – KP Chase Gardens Medical Office is serving as a vaccination site for KP employees and members and non-KP patients, effective January 25, based on OHA eligibility criteria.
  • Accommodates up 80 appointments a day
  • Moderna only

Please note: If you recently completed the OCC availability form, you may have received an email from JKangas@lhs.org regarding credentials for Legacy’s EPIC System. This is not spam. All OCC partners (Legacy, OHSU, Providence & KP) have agreed to use Legacy’s EPIC system for vaccination documentation. In preparation for this, we requested that Legacy pre-provision all employees who have expressed interest in a shift. Receipt of this provisioning does not mean you have been scheduled for a shift. Labor pool staffing will notify you, either by phone or email, if you have been scheduled for a shift

  • Ambulatory Site Vaccination Shift

We have an urgent staffing need for MA/LPN/RNs at our ambulatory vaccination sites from January 31 to February 13, at the Beaverton Medical Office, Central Interstate Medical Office, Cascade Park Medical Office, Longview/Kelso Medical Office, Mt. Talbert Medical Office, and N. Lancaster Medical Office. Vaccination hours will be 8:30 a.m. to 6 p.m.

COVID-19 Vaccine Updates

Information about COVID-19 mRNA vaccine availability and distribution is rapidly changing. Please review the following update to help guide our members, patients, and frontline employees and clinicians.

Due to the limited supply of vaccine distributed to states by the federal government, Kaiser Permanente is administering the vaccine allocated by public health departments by appointment only.

In Oregon, everyone in Phase 1A, Groups 1,2,3 and 4; and Phase 1B, Group 1 (childcare providers, early learning and K-12 educators and staff) are currently eligible for the vaccine. To learn who’s eligible now and who’s getting vaccinated next visit https://covidvaccine.oregon.gov/.

  • Members may join our COVID-19 Vaccine Waitlist onkp.org/covidvaccine/nw. Once someone signs up, they don’t need to take further action. We will hold their place in the virtual line and notify them when vaccine supply is ready for them.

In Washington, everyone included in Phase 1A and Phase 1B Tier 1 (B1) are currently eligible for the vaccine, including anyone 65 and older, and all people 50 and older who also live in a multigenerational household. This is in addition to populations eligible during phase 1A including health care workers at high risk for COVID-19 infection, first responders, people who live or work in long-term care facilities, and all other workers in health settings who are at risk of COVID-19.   • Washington residents have the option to join a waitlist managed by the Washington Department of Health: doh.wa.gov/YouAndYourFamily/Immunization/VaccineLocations.
  • Announced yesterday: The Washington State Department of Health (DOH), with assistance from the Washington National Guard and local and private sector partners, will launch four mass vaccination sites throughout the state this week [including the Clark County Fairgrounds in Ridgefield]. Based on current allocations for the state of Washington, the initial goal is to have enough vaccine to provide approximately 500 vaccinations per site, per day. In the beginning it will be less, as sites ramp up to that goal and beyond. To ensure success, a limited number of initial appointments will be accepted to start, and some sites will have reached capacity for week one quickly.

Portland-Metro

Following is an update on our plan to move Portland-area vaccine appointments to the mass vaccination site at the Oregon Convention Center (OCC):

Vaccine Appointments Scheduled at Beaverton (BVT), Central Interstate (CIN), and Mount Talbert (MTT)

  • First dose appointments scheduled at the three MOBs on Monday, January 25 or Tuesday, January 26 were manually cancelled and contacted by phone over the weekend (approx. 190).
    • Members registered on KP.org will receive an email with a URL and a code to reschedule their first dose vaccine appointment at the OCC between January 27 and 31. All members will also receive a text or a phone call.
  • First dose appointments scheduled at the three MOBs January 27 through 31 will be cancelled through an automated campaign. Patients will be guided on how to reschedule an appointment at the OCC January 27 through 31. Patients will go to the OHA website and answer a few eligibility questions. Eligible patients will then automatically be directed to the Legacy system and be able to schedule an appointment.
  • Booster (second) dose appointments scheduled at the three MOBs Monday through Friday, January 25 through 29; February 1 through 5; and, February 8 through 12 will NOT be cancelled. However, the day of appointment may change as we consolidate schedules.
  • Starting Saturday, January 30 all booster (second) dose appointments scheduled at the three MOBs on a Saturday or Sunday will be cancelled.
    • Members scheduled on Saturday, January 30 and Sunday, January 31 will be cancelled through an automated campaign. Patients will be guided to schedule an appointment at OCC January 27 through 31, using a link on the OHA website. All members will receive a text or a phone call.
    • Members scheduled on Saturday, February 6 and Sunday, February 7 will be cancelled through an automated campaign and invited to join our waitlist. All members will receive a text or a phone call.

Week of January 25 – 30 at the OCC

  • On Monday and Tuesday: special populations identified by Multnomah County in Phase 1A.
  • Starting Wednesday: Phase 1B, Group 1 (childcare providers, early learning and K-12 educators and staff) identified by Portland Public School District leaders. Also, patients identified by healthcare system partners in Phase 1A, including KPNW patients who had appointments cancelled at BVT, CIN, and MTT and patients due for their booster dose.

Booster (Second) Dose Vaccinations

Beginning this week, members and non-members registered on kp.org due for their booster will receive an email, text, or call—depending on their preference—with a link to a URL and a code to use to schedule their second dose vaccinations at OCC.

  • To start, the information will go out to patients a few days before they are due for their booster (second) dose. They will also receive the phone number of the new OCC Contact Center to call if they have questions. The OCC Contact Center will be staffed by members of the multi-health system partners. (Note: Our communication method may change once consolidated outbound campaigns are developed between all OCC partners.)
  • Patients ought to receive a booster dose of Pfizer on or after day 21 and the second dose of Moderna vaccine on or after day 28. However, if that is not possible, it is okay to get the booster later and it will still be effective.

Mid-Valley

KPNW is exploring a partnership with Salem Health to vaccinate members at the Salem Fairgrounds.

  • Salem – Vaccine supply is limited. We are administering vaccinations to appointed members in Phase 1A at the North Lancaster medical office.
  • Eugene – Currently, no vaccine is available from the Oregon Health Authority.

Southwest Washington

When vaccine is available from Washington Department of Public Health, Kaiser Permanente provides vaccinations to members and non-members at the Cascade Park and Longview-Kelso medical offices.

Announced yesterday: The Washington State Department of Health (DOH), with assistance from the Washington National Guard and local and private sector partners, will launch four mass vaccination sites throughout the state this week [including the Clark County Fairgrounds in Ridgefield]. a limited number of initial appointments will be accepted to start, and some sites will have reached capacity for week one quickly.

  • Clark County – To assist Phase Finder eligible individuals and to avoid overburdening hospitals and other vaccination sites, Clark County Public Health has taken up the role of collecting names and contact information and then connecting individuals with specific providers once vaccine becomes available. People who want to use this option can go to their website. It may take several weeks to hear from a facility, due to the large number of requests and the continued limited vaccine supply. KPNW COVID-19 Vaccination Summary

KPNW COVID-19 Trends

From KPNW researchers, scientists, and physicians, presented January 21:

  • Anticipated Surge: OR/WA still in a good position with a decreasing outbreak.
    • The post-holiday increase has ended. California, Texas, and Arizona are still experiencing the effects, but tending to peak.
    • Additional surges are expected into Spring, especially with the introduction and spread of the B.1.1.7 variant into the U.S. 
    • CDC expects the variant to be prevalent in the U.S. by March. Oregon found its first case last week.
    • We are watching and tracking on B.1.1.7 so that we can take account of the variant’s increased transmissibility.
    • UK shows there may be evidence of slightly higher increase in mortality from the B.1.1.7. variant.

Epidemiology of post-COVID syndrome following hospitalization with coronavirus: a retrospective cohort study | medRxiv

  • Internal hospital census (ADC) weekly average was down 23% from last week to this week (43 to 33). ADC forecast for this week is 30 by Jan 27 (w. error). ADC trending down since peak of 56 on Jan 2.
  • ICU use rate is dropping. December average was 22%. January is averaging 13%. There were 3 patients in the ICU internally as of Jan 20.
  • KPNW COVID+ weekly average of daily cases was down 38% from last week to this week (145 to 90). Forecast is 90 casesby Jan 20 (w. error).Daily cases were trending down since peak of 193 cases on Jan 7, but current forecast suggests plateauing in the short term.

Temporary Visitation Policy Updated

Changes:

  • No visitors in double occupancy rooms.
  • No visitors in rooms where an AGP (aerosolizing generating procedure) is being performed.

Exceptions:

  • Minors may have up to two healthy visitors at a time.
  • End-of-life patients who are not COVID+, may have two visitors at a time. They may rotate throughout the day.
  • A patient with a disability may have one “personal assistant” if essential for the patient’s physical or emotional well-being and care. Up to three healthy personal assistants may be designated for rotation throughout the day.

Clarifications:

  • Laboring mothers may have two visitors while labor is in progress; after labor, one visitor.
  • Visitors may not enter the facility if they have tested positive for COVID-19 or if they have test results pending (quarantine period).

  • What’s next for the Oregon Convention Center?

As you know, Wednesday, January 20, we successfully launched a mass vaccination site at the Oregon Convention Center and vaccinated 1,500 people. You can view the press conference, featuring Wendy Watson and COOs from Legacy, Providence and OHSU, here – they shared details about how the site will operate, and how the systems will collaborate. We hope to ramp up soon to 2,000+ vaccinations per day, and then upward from there as supplies allow. The site is closed today, January 22, and reopens Saturday, January 23.

Next week’s hours of operation:

  • Saturday, January 23:  9 a.m. to 5 p.m.
  • Monday, January 25 through Sunday, January 31: 9 a.m. to 6 p.m.

We are actively planning with our health system partners – Legacy, OHSU, and Providence – to have one scheduling platform​ hosted by Legacy for the Oregon Convention Center. We expect to stand up a collaborative call center and open up OCC appointments on that platform beginning January 23.

  • Are we moving Portland-area vaccine appointments to the Oregon Convention Center?

Yes, we are moving most vaccine appointments to our mass vaccination site at the Oregon Convention Center. However, until February 12, we’re still offering appointments in several medical office buildings – Beaverton, Central Interstate, and Mount Talbert – to make it easier for patients who expect to return to those buildings for their second dose appointments.

  • Is there a quick way for members to find COVID-19 vaccine information online?

Yes! Yesterday we launched the vanity URL kp.org/covidvaccine/nw. The vanity URL will directly load our regional COVID-19 vaccine page, removing the need to select your region. This page has the most up-to-date information on who is eligible, how to schedule, how to get on the wait list, and more.

  • What do I say if a patient asks, “How will I know when it’s my turn?”

As supplies allow, we’re continuing to offer vaccines to people who meet Oregon and Washington Phase 1A eligibility including front-line health-care workers, individuals working in corrections facilities, residents of skilled nursing facilities, tribal health programs, public health workers, and more.

Federal and state health officials determine eligibility phases. To get the latest information, go to the OHA or WAHD website:

Oregon residents: track eligibility on the Oregon Health Authority website.
Washington residents: track eligibility on the Washington State Health Department website.

  • What do I say if a patient asks, “What will the process be to get an appointment or slot?”

We’re actively planning and partnering with state and county organizations to expand vaccinations. These partnerships will allow us to accelerate the amount of vaccine given each day, as soon as it’s delivered. Based on current supply, it is estimated to take a few months to vaccinate Phase 1A, and Phase 1B. If you’re currently Oregon or Washington Phase 1A eligible, and interested in getting the vaccine, please fill out the member COVID-19 Vaccine Member Waitlist on kp.org/covidvaccine/nw. Once you sign up, we’ll notify you when you’re eligible and vaccine supply is available.

  • Is it true that people now must receive their vaccine in their state of residence?

Yes. A regional decision has been made by the public health departments in Oregon and Washington that, effective immediately, people will be vaccinated in the state in which they reside. Each state is standing up mass vaccination sites to accomplish this huge task.

PLEASE NOTE: people who have already received their first shot should get their second shot in the state where they received their first. This means that if you live in WA but got your first shot in OR, you can get your second shot in OR, too. That said, if you have already scheduled your second dose in WA, you should keep your appointment.

  • Implications for OCC: The new public health guidance means most Portland-area residents will be vaccinated at the Oregon Convention Center. Moving forward, Washington residents receiving their first doses will not be eligible for vaccination at OCC, even if they have a scheduled appointment there. Washington residents currently booked are being contacted to let them know of this new development. Also, planning for a mass vaccination site in Washington at the Clark County Fairgrounds is underway.
  • Will we have enough appointments and supplies to administer second doses for those who received the first dose?

If you are eligible (i.e., in Phase 1a) to receive the COVID-19 vaccine and unable to find a first or second dose appointment time, rest assured, more appointment times are coming. Thank you for your patience as we navigate changes in vaccine supply and demand. You can now visit kp.org/covidvaccine/nw to answer questions and join the waitlist.

We recommend you receive your second dose of Pfizer on or after day 21 and the second dose of Moderna vaccine on or after day 28. However, if that is not possible, it is okay to complete your vaccine later and it will still be effective. You will not need to repeat your series.

KPNW Opens Portland’s First Mass COVID-19 Vaccination Site at Oregon Convention Center

Yesterday, over 1,400 Oregonians in Phase 1a received their vaccine on opening day at the Oregon Convention Center. Starting Monday, partner health systems will join KPNW to bring hope, save lives, and equitably administer Oregon’s limited vaccine supply as fast as possible.

Next week, we plan to vaccinate 2,000+ people by appointment only to eligible groups. Vaccine supply will determine ongoing available appointments. We will begin phasing out vaccine appointments at our medical office buildings and transition to the OCC. Note: When an appointment location changes, patients with a kp.org account receive an email; patients without an account will receive a phone call.

COVID-19 Vaccine: Hot Topics!

  • Will we have enough appointments and supplies to administer second doses for those who received the first dose?

Yes. Despite our limited vaccine supply, we plan to hold enough doses back to provide second doses. Expect more appointments to open soon at the Oregon Convention Center vaccination site.

  • Who is eligible now? Are people 65+ eligible?

As supplies allow, we’re continuing to offer vaccines to people who meet Oregon and Washington Phase 1A eligibility including front-line health-care workers, individuals working in corrections facilities, residents of skilled nursing facilities, tribal health programs, public health workers, and more.

Federal and state health officials determine eligibility phases. To get the latest information, go to the OHA or WAHD website:

  • Oregon residents: track eligibility on the Oregon Health Authority website.
  • Washington residents: track eligibility on the Washington State Health Department website.
  • On January 25, Oregon Phase 1B begins and eligibility expands to include childcare providers and early learning and K-12 educators and staff.
  • On February 8, Oregon Phase 1B expands to begin vaccination of seniors. Seniors will be vaccinated in waves according to age. Only age 80+ are eligible beginning February 8.
  • There is not currently enough supply to vaccinate everyone in 1a group. Timing will depend on vaccine supply provided by the states. Based on current supply distribution, we estimate it will take 12-15 weeks to vaccinate Phase 1A, and Phase 1B. 
  • How do I schedule my appointment?

ALL KPNW employees are eligible for the COVID-19 vaccine. However, because supplies have fallen short, please postpone scheduling if you are a temporary remote worker with no exposure to patients. Otherwise, please follow these steps:

  • Sign in to your kp.org account and look for the Appointment Ticket tab under Appointments. If you have no notification or appointment ticket once signed in to kp.org, try a different device or internet browser such as Chrome or Microsoft Edge. 
  • If that doesn’t work, go to “Appointments” and select “COVID19-Vaccine.” Answer a few questions and make your own appointment.
  • If no appointments are available, please know we are in a transition phase, opening appointments at the Oregon Convention Center vaccination site. For members in Oregon and Washington who are currently eligible, they may fill out the member COVID-19 Vaccine Member Waitlist on kp.org/covidvaccine. Once someone signs up, we’ll notify them when they’re eligible and vaccine supply is available.
  • Where will my appointment be?

We are moving most vaccine appointments to our mass vaccination site at the Oregon Convention Center. Other locations are possible:

Although the vaccine has been shown to provide you a high level of protection, you could still catch COVID-19, be asymptomatic, and transmit the virus to others. Until we reach herd immunity in the community, PPE and other precautions will remain in place. It is important for everyone to help reduce the spread of the virus, by masking, washing your hands often, and staying at least 6 feet away from others. 

  • Will there be more opportunities to volunteer for a mass vaccination site?

Yes. We will need volunteers to work at the Oregon Convention Center. Please look for future Labor Pool emails for future volunteer opportunities. If selected, you will receive an email and/or a call for shift confirmations. If you are not contacted, continue to look for additional opportunities. Please refrain from emailing labor pool schedulers to offer to help or find out when the next bid will be sent out.

  • Can my child or teen get vaccinated?

It depends on their age.

  • Under 16 years old: If your child is younger than 16 years old, it’s best to wait until we have robust information available to deem the vaccine safe in children within their age group.
  • Over 16 years old: The Pfizer-BioNTech vaccine has been shown to be safe and effective in teens over 16 years of age and older and is recommended by the CDC.
  • Over 18 years old: Both the Pfizer-BioNTech vaccine and the Moderna vaccine have been shown to be safe and effective in people 18 years of age and over and is recommended by the CDC.

Weekend Tualatin Vaccine Site a Huge Success

More than 3,100 doses were provided at this weekend’s vaccination site at our Tualatin Medical Office. Participants raved about the organized and efficient operation – and the joyful and hopeful atmosphere. Thank you everyone – staff, clinicians, and leaders – who made the effort successful.

OHA Publishes New Resource for Vaccination Information

The Oregon Health Authority (OHA) published a new personalized, interactive tool to guide Oregonians on COVID-19 vaccination eligibility and locations. Please promote this new resource to your teams and your patients. OHA is also working to launch a call center later this month, and created this infographic outlining phases 1A and 1B. 

Conserving 1ML Syringes

There is a global supply constraint for 1ML syringes used for a variety of medical purposes, including administering COVID-19 vaccine.

How you can help: One thing you can do is consider using 3ML syringes (which are in large supply) in place of 1ML syringes (which are in short supply) for certain medical procedures unless the substitution would present safety and/or quality issues.

Variant Strain of Coronavirus Here in Oregon

There has been one case of the variant strain found here in Oregon with tens of thousands having been tested. Surveillance by public health is ongoing.

Current diagnostic (NAAT) testing done by our KPNW labs, treatment, and immunity from natural infection and vaccination is not affected by this B.1.1.7 variant. There are no concerns from an infection prevention standpoint or about cohorting inpatients diagnosed with COVID-19.

We continue to monitor this situation for any emerging data or guidelines on this or any other variant that arrives or emerges in our region that would affect testing, treatment, vaccine, or cohorting practices.

UPDATED | COVID-19 Vaccine Scheduling Guidance

Due to the positive, overwhelming response, appointment times are filling fast. If you are unable to find a first or second dose appointment time, rest assured, more appointments and vaccination sites are coming. Thank for you for your continued patience as we quickly respond to changes in vaccine supply and demand and update our kp.org system.

We recommend you receive your second dose of Pfizer on or after day 21 and the second dose of Moderna vaccine on or after day 28. However, if that is not possible, it is okay to complete your vaccine later and it will still be effective. You will not need to repeat your series.

Opt-In Weekly COVID-19 Testing for Hospital-Based Employees

Yesterday, KPNW began phasing in a program to allow hospital-based employees to opt-in for weekly COVID-19 nasal swab testing. The initial phase is intended for hospital employees working in the ED, ICU, COVID-19 units and Anesthesia departments. Testing can be accessed via the decision tree on kp.org.

KPNW already offers testing for employees who develop signs and symptoms of COVID-19 and for employees who have had a community, household, or workplace exposure. Why are we beginning this program? California Department of Public Health recommended that all acute care hospitals in California provide such testing. KP wants to offer the weekly screening test to employees in all regions with hospitals. We are phasing in groups of employees based upon their risk and exposure with suspected and diagnosed COVID-19. Additional groups will follow in the next few weeks to months as long as our testing capacity allows.

Health care personnel (HCPs) may participate whether or not they’ve received a COVID-19 vaccine. HCPs should remember that weekly testing does not change our continued careful use of PPE and Infection Prevention policies when taking care of our members, and should follow our universal masking and eye protection guidelines in our facilities. 

KPNW COVID-19 Trends

From KPNW researchers, scientists, and physicians, presented January 15:

  • Anticipated surge: OR/WA still in a good position post-holidays, with decreasing hospital census. The outlook for the next week suggests census at or below the level we are currently seeing.
    • COVID-19 case counts are increasing slowly in OR, but our KP region is seeing smaller increases than the State as a whole.
    • Additional surges have been anticipated throughout the winter and are still possible, especially with the introduction and spread of the B.1.1.7 variant.
    • The impact of vaccinations will help to counter the effects above, although the timing of when we will see community level impacts is still to be determined.
    • Possible explanations of the lower hospital census and case counts in Oregon as compared to surrounding States are: younger, healthier populations, fewer multi-family households, and more adherence to governor’s guidelines. Some subpopulations are still being infected at rates greater than expected, but these clusters are small within the overall population.
  • Internal hospital census (ADC) weekly average was down 21% from last week to this week (50.1 to 39.9). ADC forecast for this week is 36 by Jan 20 (w. error). ADC has been trending down since a local peak of 56 on Jan 2.
  • ICU use rate is dropping. December average was 22%. January is averaging 15%. There were 5 patients in the ICU internally as of Jan 13.
  • KPNW COVID+ weekly average of daily cases down after slight rise and peak of 193 cases on Jan 7; down 8% from last week (154) to this week (142). Forecast is 127 cases by Jan 20 (w. error).

Update: Member Appointments for COVID-19 Vaccine

We continue to experience high call volumes and overwhelming interest from members about when they’ll be able to receive the COVID-19 vaccine. Here are a few things you can tell them to help provide reassurance:

  • Currently, only people in the 1a group are eligible to get the vaccine. Go to kp.org/covidvaccine, and select Northwest region, to learn about eligibility in Oregon and SW Washington.
  • As vaccine supplies are distributed, we are continually adding appointment times.
  • Soon we will have a wait list for members to reserve their virtual place in line. Please check kp.org/covidvaccine in a few days.
  • As stewards of the vaccine, we follow the guidance of the CDC, the Oregon Health Authority, and the Washington State Health Department.

Update: Oregon Convention Center Vaccination Clinic Next Week!

We are continuing to plan for the opening of a vaccination clinic next Wednesday at the Oregon Convention Center. Vaccinations will be available by appointment for those in the 1a prioritization group. We are also in discussions with OHSU, Legacy and Providence and are meeting with them today to discuss plans for combining forces on ongoing community vaccine clinics. We will share updates as details are finalized for both next Wednesday’s clinic, and the larger health system partnership.

Flu Shots at Designated Pharmacies Extended to March 31

Members can now get a flu shot at designated pharmacies through March 31. If you haven’t gotten your flu shot yet, or completed a declination form, now is the time to do so. Visit Kp.org to find a retail pharmacy location, and read more on insideKP.

Reminder: Please wait 14 days between getting a flu vaccine and getting a COVID-19 vaccine. It is not known if getting the COVID-19 vaccine within 14 days of another vaccine will affect how each vaccine works.

Important Update + A Request: COVID-19 Vaccine Rollout

We know some of you have been unable to find available appointment times. As of yesterday afternoon, we have opened additional appointments for the vaccination event we are holding this weekend at our Tualatin Medical Office Building on Saturday and Sunday from 9 a.m. to 4 p.m.

If you received a scheduling ticket: as of yesterday afternoon, you can schedule an appointment for the Tualatin vaccination event this weekend.

If you are a NW-based Program Office employee: you may be able to schedule at Tualatin starting today, via kp.org.

AN IMPORTANT REQUEST: this weekend’s vaccination event is open by invitation only to KPNW employees with appointments, and members and non-members who are part of the 1a group AND received an invite from their employer. We need to support our teams working the event, giving them time to test and improve our workflows. We do not want to create an overwhelming first experience for them. Please support the invitation-only process and do not invite others to attend.

COVID-19 Vaccine: Hot Topics!

We are working to rapidly increase the speed and volume of COVID-19 vaccines administered to our employees, members, and non-members so we can reach herd immunity and protect everyone in our communities. We are in discussions with the Oregon Convention Center, in preparation for a large-scale community vaccination event next week. Details are still being worked out and we’re eager to share more soon!

Below are the hot topics of the moment:

  • How will members be notified when they’re eligible for a COVID-19 mRna vaccine?

The vaccine rollout has been rapid and changing quickly. As stewards of the vaccine, we are following the guidance of the CDC, the Oregon Health Authority and the Washington State Health Department. Patients will be notified when they’re eligible. Direct members to kp.org/covidvaccine, select Northwest region, to learn about eligibility.

  • Can I give my scheduling ticket to someone else?

No. The initial COVID-19 vaccines have been purchased by and are owned by the federal government. We are stewards of the vaccines and are required to administer them to the populations prioritized by state health departments and Centers for Disease Control and Prevention guidance. You cannot give your scheduling ticket to someone else.

  • What are the side effects of the vaccine?

Common side effects include a sore arm, headaches, and fatigue. Most side effects are usually mild or moderate and resolve within a few days after vaccine administration. The side effects show your body is responding.

  • Is it true that people 65+ are now eligible?

The federal government recently announced, under Operation Warp Speed, that all people 65+ are eligible to receive the COVID-19 vaccine. We are awaiting further guidance on how to prioritize that group in KPNW.

  • Do the vaccines work against variant strains?

New variant strains are circulating in the United States and throughout the world. A new study shows the Pfizer vaccine can protect against these new strains, and we expect that we can extrapolate that the Moderna vaccine would protect, as well. However, this study has not been peer reviewed or published. It does suggest that the vaccines we have will continue to be effective. In the meantime, Kaiser Permanente is continuing to strictly follow CDC guidelines to help keep everyone safe while our researchers and infectious disease physician experts work closely with public health officials to better understand new strains of the virus.

  • Do we need to continue to wear masks and physically distance?

The COVID-19 vaccine does provide enhanced protection for you once you have been vaccinated. What we don’t know is whether the vaccine prevents asymptomatic transmissions. We don’t have enough evidence yet to say when you can resume regular activities. Until we have that data, it will be important for everyone to continue using all the tools available to us to help stop this pandemic: cover your mouth and nose with a mask, wash your hands often, and stay at least 6 feet away from others.

  • Will employees receive additional paid time off to be vaccinated?

No. We follow our usual pay practices for a voluntary vaccination, such as the flu shot. Your health and safety are our top priority, and we are working to make getting vaccinated onsite at Kaiser Permanente easy and convenient. You can be vaccinated before or after work or while on break. Employees can also get vaccinated by any COVID-19 vaccine provider approved by their state. Provided it works operationally and other options are not available, employees may be vaccinated during scheduled paid time. For example, like the flu shot, employees are not required to clock out for a vaccination opportunity available during a shift outside of a break/meal period if the department can accommodate. Due to the observation period and vaccination sites for this vaccine, it may be less likely than for flu vaccine to be able to be accommodated during a shift, but it is not precluded.

Some of our own Kaiser Permanente staff are due for their second dose of Pfizer or Moderna vaccine in the next 7 to 14 days. Over the next several days, while we transition appointments and vaccine supply to our large-scale vaccination clinics, employees due for their second dose may not be able to find an open appointment time. Please be assured, we will soon open up second dose appointments for both the Pfizer and Moderna vaccines at locations throughout the metro area. We recommend you receive your second dose of Pfizer on or after day 21 and the 2nd dose of Moderna vaccine on or after day 28. However, if that is not possible, it is okay to complete your vaccine later and it will still be effective. You will not need to repeat your series.

IMPORTANT UPDATE! Employee Vaccine Appointment Availability

Yesterday afternoon, vaccine appointments were opened to all KPNW employees. If you are registered on kp.org, you received an email message from Kaiser Permanente NW with the subject line, “A new secure appointment ticket is now available.” By late evening, all appointment times in the Portland metro area were filled. Please do not call the contact center to schedule an appointment.

What to expect?

  • Find additional vaccine appointment times on kp.org later this afternoon; and, check back throughout the week.
  • Learn about plans for a mass vaccination site(s) on today’s live audio broadcast. A pilot is planned this weekend at the Tualatin Medical Office Building to test and adjust staffing and logistical workflows. We’ll keep you informed as details are finalized.

Do the vaccines have side effects?

  • Like most recommended vaccines, the COVID-19 vaccines, which will be administered in 2 doses weeks apart, can produce side effects.
  • Some people who have participated in clinical trials report fevers, headaches, fatigue, muscle aches, and/or soreness around injection sites.
  • These symptoms are an expected sign that the body is building immunity. 

Will Employees Receive Additional Paid Time Off to be Vaccinated?

No. We follow our usual pay practices for a voluntary vaccination, such as the flu shot.

Your health and safety are our top priority, and we are working to make getting vaccinated onsite at Kaiser Permanente easy and convenient. You can be vaccinated before or after work or while on break. Employees can also get vaccinated by any COVID-19 vaccine provider approved by their state.

Provided it works operationally and other options are not available, employees may be vaccinated during scheduled paid time. For example, like the flu shot, employees are not required to clock out for a vaccination opportunity available during a shift outside of a break/meal period if the department can accommodate. Due to the observation period and vaccination sites for this vaccine, it may be less likely than for flu vaccine to be able to be accommodated during a shift, but it is not precluded.

Weekly KPNW COVID-19 Trends

From KPNW researchers, scientists, and physicians, presented January 7:

  • Anticipated Surge Timing: OR/WA were in a good position heading into the holidays, with a decreasing outbreak. Additional surges have been anticipated throughout the winter and are still likely, especially with the introduction and spread of the B.1.1.7 variant. 
    • At the present time, we are seeing early warning signs post-holiday that could result in an increase in hospital census in the next few weeks.
    • Internal hospital census (ADC) weekly average was up 2% from last week to this week (47.3 to 48.1). ADC forecast for this week is 49 by Jan 13 (w. error). Forecast is trending up slightly, but still below Thanksgiving peak.
  • ICU use rate is dropping. November average was 9%. December average was 22%, and currently, January is averaging 15%. There were 7 patients in the ICU internally as of Jan 6.
  • KPNW COVID+ average weekly cases up after 4 weeks of decline (peak of 371 on Nov 23); up 8% from last week (139) to this week (150). Forecast for this week is 166 cases by Jan 13 (w. error).

UPDATE: COVID-19 Vaccine Rollout

Our leaders have new information to share concerning the COVID-19 vaccine rollout. As we shared this week during our audio broadcast, we will soon open up COVID-19 vaccination scheduling to all employees. Nearly 85 percent of KPNW employees have received an appointment ticket. The timeline to open vaccine scheduling to the remaining 15 percent of employees is shifting to next week, to ensure fair and equitable vaccine distribution and remain aligned with Oregon and Washington public health prioritization guidance. We anticipate a very short postponement and will provide an update early next week.

Yesterday afternoon, we activated the KPNW Vaccine Command Center to achieve COVID-19 herd immunity in the NW region as rapidly as possible. Led by Michelle Teeples and Eric Warshaw, MD, the command center team will enable KPNW to:

  • Maximize throughput at all vaccine locations with appropriate quality and safety
  • Serve as an active community leader and partner in vaccinating the community
  • Iterate rapidly

Letter Posted for Members Traveling Within 90 Days of Positive Test

CDC does not recommend testing again in the three months after a positive viral test, as long as the person does not have COVID-19 symptoms. If a person has had a positive viral test in the past 3 months, and has met the criteria to end isolation, that person should travel with a copy of their test results and a letter from their doctor or health department that states they have been cleared for travel. Find all KP COVID letters in HealthConnect’s Letters Activity and search for COVID. Choose the COVID-19 Release from Isolation Travel Letter.

Mail Order Pharmacy Reminder for Patients During COVID-19

Mail order rates are slipping, which means more patients are coming into our medical office buildings (MOBs). Please remind patients to utilize mail order and home delivery options for prescriptions they don’t need urgently. Mail order is faster and easier for patients and helps them avoid visiting a MOB. See this guide from Pharmacy for more benefits and talking points to share with your patients.
